Stephens Brand Compliance Policy for External Communications

Purpose

To ensure a consistent, cohesive and recognizable institutional identity, all external-facing communications and materials representing Stephens College must adhere to established brand standards.

Policy Statement

All content created for external audiences — including but not limited to marketing materials, digital content, social media, publications, advertising, presentations, and event promotions — must comply with the Stephens College Brand Campaign Guide and associated brand resources.

Scope

This policy applies to all Stephens College faculty, staff, programs, departments, student organizations, and third-party vendors producing or distributing external communications on behalf of the College.

Requirements

  1. Brand Alignment
    All external-facing content must:
    • Reflect the Stephens College brand platform, messaging and tone.
    • Align with approved visual identity standards, including logos, colors, typography and imagery.
    • Maintain consistency with the brand themes and overall personality.
  2. Use of Official Assets
    Only approved brand assets (logos, templates and design elements) may be used. These must not be altered or modified outside of approved guidelines.
  3. Centralized Review and Production
    To ensure brand consistency, all outward-facing projects or materials must be created in collaboration with, or approved by, the Stephens College Marketing team.
  4. Submission Process
    Departments must submit requests for external communications, marketing materials, or branded assets through the established Marketing project submission process. {insert link to project request form}
  5. Third-Party Compliance
    Any external vendors or partners producing materials on behalf of Stephens College must adhere to this policy and receive approval from the Marketing team prior to publication or distribution.

Enforcement

Materials that do not comply with brand guidelines may be revised, withheld from distribution, or removed. Repeated non-compliance may be escalated to institutional leadership.
